Important Information

The AUA is using a new abstract submission platform, Sessionboard. The submitter will log in to Sessionboard with their myAUA credentials. If you already have a myAUA account, you do not need to request a new one. Submitters who do not have an account may request one here. If you have forgotten your login or are unsure if you have an account, contact customerservice@AUAnet.org for assistance. Please note, Member & Customer Services cannot assist with questions regarding abstracts.

Submission Policies

AUA membership is not required for abstract submission. Case reports, abstracts determined to be primarily promotional in nature, and abstracts written in a language other than English are not eligible for submission.

Duplicate or Similar Abstracts

Duplicate or similar abstracts derived from the same study or covering closely related clinical subjects should be combined into a single abstract. The submission of multiple abstracts from a single study may lead to the rejection of one or more abstracts

Previously Presented or Published Abstracts ("Encores")

Prior to the AUA Annual Meeting, the contents and conclusions of the abstract must not have been presented at or published in conjunction with any scientific, medical, or educational meeting with the following exceptions:

  • Abstracts previously accepted to AUA Section meetings or select urologic sub-specialty societies are eligible for submission even if presented or published under the scientific, medical, or educational outlets of those meetings. Authors are strongly encouraged to provide updated data in the abstract submitted to the AUA Annual Meeting.
  • Study results may be presented at closed (non-public) meetings on the condition that no meeting materials are publicly disseminated in any format.

Additionally, the contents and conclusions must not be published as a full-length research article in a scientific, medical, or educational publication (in any medium), in whole or in part, before the abstract is published online by the AUA. Full-length pre-prints (non-peer-reviewed research articles published online for public dissemination and public comments are permitted before the abstract is submitted.

Submission of an abstract confirms that all authors agree to its submission and will abide by several key standards to ensure the integrity and scientific quality of educational content:

  • Evidence-Based Content: All recommendations for patient care must be grounded in current scientific evidence and clinical reasoning, presenting a balanced view of available options.
  • Disclosure of Off-Label Use: Any discussion of off-label or investigational uses must include appropriate disclosures to the audience.
  • Clarity on Emerging Topics: When discussing topics with limited or developing evidence, this must be clearly stated.
  • Avoidance of Unscientific Practices: Abstracts must not promote practices lacking scientific support or are known to be ineffective or harmful.
  • Patient Privacy: All patient identifiers must be removed, and patient images may only be used with written consent.
  • No Promotional Content: Materials must be free from ineligible company (i.e. commercial interest) logos or other branding.

The Program Committee has the authority to reject any submission in violation of the stated policies.

The AUA requires anyone who is in a position to control the content of an AUA educational activity [e.g. scientific program directors, faculty presenters, speakers, moderators, program planners, contributors, editors, reviewers, and presenting authors] to abide by the following policies:

  • I agree that I will refrain from using, sharing or uploading content I accessed through AUA websites or educational activities into external applications, bots, software, or websites, including those using artificial intelligence technologies and infrastructure, including deep learning, machine learning and large language models and generative AI.
  • I agree that I will refrain from using or sharing any AUA content/data to train, alter, inform, or otherwise affect any form of artificial intelligence; deep learning; machine learning; or similar automated, autonomous, self-improving, or otherwise adaptive software model or program (whether automated as a whole or in part).
  • In providing presentation(s), handouts, and related materials, I agree to only use AI tools for the following purposes: idea generation and general knowledge questions and research meant to enhance my understanding on a topic. I will not use AI tools to create final work product including, but not limited to, the presentation, handouts, related materials, content, and deliverables, with the exception of images, charts, drawings or similar graphics meant to enhance the presentation. If an image, chart, drawing or similar graphic is utilized, it must be properly cited.
  • I represent and warrant that my Presentation is my (and/or my-co-presenters') original creation, and if utilizing another organization or individual's content into external applications, bots, software, or websites, I/we have obtained all necessary permissions and/or licenses to use and license the text, images and all content within this Presentation.

Prior to the submission deadline, the submitter may log in to view, edit or delete an abstract. It is the responsibility of the submitter to ensure the abstract is complete and free of errors. After the submission deadline, revisions to the abstract content including authorship, will not be accepted.

Requests to withdraw an abstract may sent by the submitter or presenting author to annualmeeting@AUAnet.org. Please include the submission ID and title in your request.


Abstract Requirements

The AUA welcomes abstract submissions in two formats: paper and video. Paper submissions include a written abstract while video abstracts include both a written abstract and a video component. See the Video Abstracts section for information regarding video submissions.

Select the most appropriate category for the abstract. Please note, the Program Committee has the authority to recategorize an abstract.

The body must be informative and detailed. Character counts include spaces. The following sections are required:

  • Title (255 characters). The title should clearly define the topic. Refrain from the use of abbreviations unless necessary. For professional consistency, titles must be in sentence case, and not bold, underlined or italicized. Do not include a period at the end of the title. Identifying information such as author or institution names must not be included in the title.
  • Introduction and objectives (400 characters)
  • Methods (600 characters)
  • Results (600 characters) The inclusion of specific outcomes data (even if it is preliminary data) is required for all abstracts. The AUA will reject abstracts with no listed results or with a statement that reads, "Results will be discussed".
  • Conclusions (400 characters)
  • Funding (255 characters) Funding and grant support must be disclosed. If no funding was received, leave this field blank. Do not include authors names in this field.

Use of Product Names: Only generic drug names should be used unless no generic exists. If a trade name must be used it must be in parentheses alongside the generic name. Device trade names should be used only when comparing available options. In other instances, the device product class or functional name should be used.

Abbreviations: Place abbreviations in parentheses immediately after the first mention of a term or phrase; the abbreviation can then be used throughout the abstract.

References: In text citations should be used for any references. Any referenced research must meet accepted scientific standards in design and analysis. Authors must not cite studies with known allegations of misconduct.

Authors who wish to include a figure or table with their abstract must upload the file as an image. Up to two images may be included with the abstract. JPEG and PNG files are acceptable.

There is no limit to the number of authors included. The submitter is responsible for providing complete and correct information for each author. Edits will not be accepted after the deadline. Authors must be entered in the order they should appear if the abstract is accepted for publication.

The submitter must provide the first name, last name, and email address of each author. If the submitter is also an author, they must include themself.

One author must be designated as the presenting author. We recommend that the presenter complete their disclosure record at the time of abstract submission. Additional information is needed for the presenting author (* denotes a required field):

  • First name*
  • Middle initial or name
  • Last name*
  • Suffix
  • Email*
  • AUA ID
  • Primary institution/organization*
  • Department
  • City*
  • Country*
    • If U.S. is selected, state/territory is required
    • If Canada is selected, province/territory is required
  • If the author is currently enrolled in an accredited urology residency program within the U.S., please check the corresponding box. This information is used for the National Residency Abstract Olympics.

Video Abstracts

Video submissions require two parts: a written abstract and a video. Guidance for the written portion is outlined above. Videos should demonstrate your institutional expertise, be timely and translatable. Accepted video abstracts will be presented in topic-specific sessions and will be included in the Surgical Video Library.

  • Only one subject/case per video. No exceptions.
  • Videos must not exceed 8 minutes and should include an introduction (1-2 minutes), surgical clips (3-4 minutes), and summary (1 minute)
  • The opening frames of the video must include the exact title of the abstract and all authors' names.
  • Audio narration or background music (or a combination of both) is required. If music is used, ensure it exists in the public domain. Video submissions without audio will be rejected.
  • Content must not include identifiable patient information.
  • The written and spoken language must be English.
  • Acceptable file type: MP4
  • Preferred dimensions: 1920x1080 (1080p); Minimum required dimensions: 1280x720 (720p).

All video content must be fair, balanced and free of commercial bias.

  • Videos must be produced in a way that they are not perceived to be a commercial for a given product.
  • Avoid the use of brand names in the video title. Instead, focus on the procedure.
  • Graphic design overlays containing commercial logos or other marketing are not permitted
  • Incidental logos are permitted to be visible on the device being demonstrated.
  • It is fine to demonstrate the use of just a single product, but the narrator should provide a balanced view of clinical options by disclosing the other product options on the market.
  • Submissions funded by commercial companies must be identified as such in a disclaimer at the start of the presentation.
  • Technical, clear narration, video annotation, still images
  • Novel, cutting-edge, transferable skill
  • High educational value and message

Accepted Abstracts

Upon acceptance, the presenter will be informed of the date, time and format of the presentation. The AUA cannot accommodate rescheduling requests or virtual/pre-recorded presentations. Acceptance of an abstract does not guarantee its presentation and publication. The presenter is responsible for adhering to the tasks and deadlines as follows.

Upon acceptance, the presenter must visit their portal and confirm or decline their presentation by the stated deadline. Note, if the presenter has multiple accepted abstracts, they must confirm the invitation for each abstract. An individual may not present more than 5 abstracts at the Annual Meeting.

If the presenter confirms (accepts) the invitation by the stated deadline, the presenter must register for an in-person package (e.g. Platinum, Gold, Faculty, Exhibitor) by [deadline]. The presenter is responsible for expenses associated with the presentation of the abstract. Registration fee waivers and travel grants are not available. Failure to register by the deadline will forfeit the opportunity to present and the abstract will be removed from the program and withdrawn from publication in The Journal of Urology®.

If the presenter declines the invitation by the deadline, the abstract will automatically be removed from the program and will not be published in The Journal of Urology®.

If the presenter does not respond to the invitation by the deadline, they forfeit the opportunity to present, and their abstract will not be published.

Prior to the response and registration deadline, the presenter may request to designate a co-author as the new presenter. The new presenter must have been listed as an author at the time of abstract submission and abide by the same deadlines. Requests are subject to review and approval by the AUA and must be sent to annualmeeting@AUAnet.org.

This only applies to presenters with an abstract accepted for presentation within an accredited session. Presenters will be notified at the time of acceptance whether their presentation requires disclosure. Those presenters required to disclose who have not done so by the time of acceptance will be assigned a disclosure task within their portal.

Failure to complete the disclosure form by the deadline will forfeit the opportunity to present and the abstract will be removed from the program and withdrawn from publication in The Journal of Urology®.

The presenting author must disclose all financial relationships with ACCME-defined ineligible companies (formerly commercial interests) existing within the past 24 months. A presenter is not permitted to have financial relationships with ineligible companies that the ACCME would deem to be that of an owner or employee.

  • Ineligible company = primary business is producing, marketing, selling, re-selling, or distributing health care products used by or on patients.
  • Owners = individuals who have an ownership interest in a company, except for stockholders of publicly traded companies, or holders of shares through a pension or mutual fund.
  • Employees = individuals hired to work for another person or business (the employer) for compensation and who are subject to the employer's direction as to the details of how to perform the job.

The AUA COI Review Work Group will determine which relationships are relevant and require mitigation. The AUA will contact the presenter if additional information is needed. If the presenter meets the definition of an owner or employee of an ineligible company, the presenter will have the opportunity to identify a co-author to present on their behalf, but the co-author must have been listed on the abstract at the time of submission and must have a current disclosure record, which will be reviewed.

The presenting author will receive instructions on accessing the speaker site. Access will not be granted to co-authors and non-authors. The presenting author is responsible for completing all assigned tasks by the stated deadline. Failure to complete required tasks will forfeit the presentation and publication of the abstract.

The presenting author is also required to complete a non-exclusive license agreement, as the AUA may capture accepted abstract presentations and use them as deemed appropriate for educational purposes.

Abstracts accepted for the Annual Meeting are copyrighted by the American Urological Association and published in a supplement of The Journal of Urology®. No part of materials published in The Journal of Urology® may be reproduced without written permission of the publisher.
