6. Applications & Software

Employee account access for business applications

The IT Support Team provides installation and maintenance of business applications and software. If you need help with one of the business applications, please do not hesitate to contact the support team.

Business Applications Access

By request the Technology Team can:

  • Create, modify, and delete business systems accounts (w/ manager approval)
    • Best method to request a new account is to submit a ticket that specifies the type of account needed (i.e., network account, Personify account, Ingeniux account, etc.).
  • Grant role-based access to business systems (w/ manager approval)
    • Best method to request access to a software application is to submit a ticket with the application name and specific access needed within the software application.
  • Change an account name
    • Best method of contact is to submit a ticket with the name change details.

Software Applications

Business Systems used across the organization consists of the following software applications:

  • ADP A cloud-based system for payroll, taxes, benefits, policies, and other financial and HR management tools. Contact Finance or assistance.
  • Awardco An online employee recognition system that allows AUA staff to recognize and reward other staff members for their good work. Contact HR for assistance.
  • Crystal Reports: Report writing software that can be used with a SQL database such as Personify and Dynamics Nav to allow users to create their own reports by accessing database tables and fields and using functions such as query filters, grouping, and sorting.
  • Excel: Spreadsheet software Included with the Microsoft 365 software.
  • File Explorer: A file management application included with the Microsoft 365 software.
  • Keepass: KeePass is a free open-source password manager, which helps you to manage your passwords in a secure way.
  • KnowBe4: AUA’s online platform for Security Awareness Training. The Infrastructure & Security department will periodically require AUA staff to complete security training that entails watching videos and passing exams in an effort to manage the IT security problems of social engineering, spear phishing and ransomware attacks.
  • Mimecast SPAM: Cloud-based cybersecurity services for email, data, and web that includes archiving and continuity to prevent security compromises.
  • MS Teams: Business communication platform that is included in the Microsoft 365 software. Also see the MS Teams content in Section 8 of this Technology Guide.
  • Nimble/FRESH: Association Management system that consists of the following modules:  Accounts Receivables, Awards, Contact Tracking, Committees, Customer, Exhibitions, Fundraising, Orders, Products (such as Inventory, Meetings/Events, Membership, Miscellaneous, and Subscriptions) and Transcripts
  • Outlook: Email software included with the Microsoft 365 software.
  • PowerPoint: Presentation software included with the Microsoft 365 software.
  • Sharefile: An online, secure file sharing and transfer service that is used for sending encrypted emails and large files.
  • WebBrowsers: A software program that lets an online user view web pages on a computer or mobile device. The AUA standardizes on Chrome as the default browser, but also offers Edge and Firefox on AUA computers. AUA tests all online development work on these browsers as well as Safari.
  • Word: Word processing software Included with the Microsoft 365 software.
  • Zendesk: The AUA’s support management system or Helpdesk that is used by Aqua, Customer Service, IT, Member Services, Office of Education, Office Management, as well as for other tracking. See the IT Support section of this site for more information.
  • Zoom: Online video communications software for video and audio conferencing, chat, and webinars across mobile, desktop and conference room systems.

Digital Publication Technologies

Staff at the AUA are expected to use supported and appropriate technologies when developing or deploying content. These technologies are listed below. To find out more about any one of them, contact the helpdesk at helpdesk@AUAnet.org.

  • Ingeniux: The AUA/UCF Content Management (CMS) system for publication of web pages. All users wishing to use Ingeniux must attend appropriate training.
  • The Hub: The AUA Intranet is used for content distribution and internal web pages. If you have materials or web content for the AUA/UCF staff, this is the platform you should use.
  • Social Media: In addition to these platforms, the AUA has a number of social media channels. These are managed by various departments at the organization.
