4. Network Access
Access to the AUA network from the office network or a wireless connection
The AUA network provides secure access to the internet and online business systems. Employees can connect to the network on-site or use the secure wireless networks that are available to staff and AUA guest.
Login
- Your username will be your first initial followed by your last name. In the rare event your username does not follow this naming convention, we will make you aware during orientation.
- The initial password will be given to you by an administrator and must be changed immediately upon first login. This can be done by pressing Ctrl+Alt+Delete and selecting "Change a password".
OKTA/MultiFactor Authentication (MFA)

- The Helpdesk must enable your account in OKTA prior to using MFA
- Once you have been notified by the Helpdesk that you have been enabled for MFA, log into https://auanet.okta.com
- On your next login, you will be prompted to enroll and set up your authentication methods.

Please enroll in each one so that you have backup options if one method doesn't work.
- SMS Authentication – you will receive a code to your phone via text. Enter that text at the OKTA login when prompted and click Verify.
- Voice Call Authentication – you will receive a phone call to the number you specify in your enrolment. Enter that code you received in the prompt and click Verify.
Use OKTA to access your work applications. Log in using your network credentials (the same credentials you use to access your computer).

Applications you will find on the OKTA portal include:
- ADP – Access to pay statements, time and attendance, benefits, and other vital HR information. Add, review, and update your workplace goals as well as give and track feedback from your manager and co-workers.
- Awardco – An employee recognition and reward platform.
- KnowBe4 Security Awareness Training – Access to various videos and quizzes to help you gain a basic understanding of cyber security in the workplace and common exploits to look out for.
- You will receive an email notifying you of your enrollment into training and the deadline for completion.
- Microsoft Office 365 Mail – This web-based client allows you to access your personal and departmental mailboxes when out of the office. Compose and read mail as well as schedule and respond to appointments.
- Mimecast Spam Personal Portal – Manage items intended for you or your department that have been caught in the spam filter. You can release mail, permit safe senders, and view spam history.
- Zendesk – Access the AUA helpdesk system and create tickets, upload screenshots, and receive updates for tickets.

Changing your password
Users can reset their AUA network logon (Active Directory) from any machine on the AUA HQ network (desktop, laptop, thin client) or from within VDI.
First, ensure you’re already logged in to your computer.
- Press Ctrl + Alt + Del keys together on your keyboard to get the security screen.
- Click "Change a password".
- Specify the new password for your user account.

*You do not have update your password in Okta as it is linked to your AUA network account.
*HUB password resets must be requested by creating a Helpdesk ticket (helpdesk@AUAnet.org).
KeePass Password Manager
We know that you will be using many passwords during the workday at the AUA. We have installed a program called KeePass on your device to help you organize and secure all of your passwords.

Note: Passwords are case-sensitive. The most common reasons for account lockout are having the wrong name in the username field, having the CAPS lock key depressed, or accidentally trying to login locally.
Mindshift Password Reset
- Your MindShift username will be your AUA email address (RJoe@auanet.org) and a password will be created by the user from the Mindshift (Cisco) website.
- You will receive an email from MindShift to set up your account upon start date.
- If you forget your password or need to reset it. Simply use the reset password feature at https://uc.mindshift.com/myphonenext. If the website does not end in “/myphonenext” that will not be the correct website.
VDI
Virtual desktop infrastructure (VDI) is& defined as the hosting of desktop environments on a central server.

VDI System requirements when using VMware Horizon Client on a personal computer
- An up-to-date Windows 10 or MacOS personal computers using the latest supported version and current with all system patches.
- Chromebooks are supported but can be more difficult to use and troubleshoot.
- An up-to-date browser when accessing via HTML. Chrome, Edge, Firefox, and Safari are all supported.
HUB
The employee intranet the HUB is a repository for information, forms, and documents to assist new employees in their daily duties. It contains information that is relevant to all AUA staff and cannot be located elsewhere.

BYOD
Bring your own device —also called bring your own technology refers to being allowed to use one's personally owned device to gain access to limited work networks. Employees may have the opportunity to use their personal electronic devices for work purposes when authorized in writing by management and IT team. Personal electronic devices include personally owned cellphones, smartphones, tablets, laptops, and computers.
