Microsoft Teams telephone and voicemail

Calls made to users' AUA number will ring through to Teams. This includes anywhere they might be logged into Teams (softphone, mobile app, etc)

*Mobile App: If you want to use Teams on your Smartphone or other device you must contact the AUA Helpdesk for instructions.

Make or answer a call in Teams

  • Select either Video call Video call button or Audio call Calls button. Any call can be a video call or an audio-only call. It's always up to you.

Use the dial pad to make a call in Microsoft Teams

  • The dial pad can be used like a typical phone to make a call to a phone number. (You can also type in names or groups.)
    • To dial a number from Teams, go to Calls and from the dial pad, enter the number of the person you want to reach. Then click > Calls button.
    • To call using someone’s name, go to Calls and from the dial pad text box, type the name of your contact.
    • To make group calls, enter multiple names and/or numbers into the dial pad, and click > Call button.

Answer a call in Microsoft Teams

  • When someone calls you, you'll get a notification that lets you accept or decline the call.

  • Select Accept with audio Calls button to answer with audio only.
  • Select Accept with video Video call button to accept the call and enable video as well.
  • Select Decline call red phone to decline the call and go on with your day

    Start a call from a chat in Microsoft Teams

    You can make one-on-one or group calls with anyone in your organization directly from a chat without having to host a team meeting. These calls are private and won't appear in any team conversation. Entries for the calls will appear in your chat, though.

    • Go to your chat list, and click > New chat to start a new conversation.
    • Type the name or names into the To field at the top of your new chat.
    • Select > Video call button or Audio call button to start a call.
    • Up to 20 people can be on the same video call.
      • Note: If a group chat includes more than 20 people, calling buttons will be disabled.

    Add someone to a call in Microsoft Teams

    To add someone to a call that's already in progress, you'll need to open the Participants pane — from there, you can add someone to the call using their phone number, or by searching for their name or username.

    1. In the “Invite someone or dial a number” field near the top of the Participants pane, type the phone number, name, or username of the person to add to the call.
    2. To continue adding the person to the call, in the drop-down that appears, Click> the number or name of the person you want to add.
    3. Microsoft Teams will then connect the additional person to the call.
    4. You and others in the call will hear the person's phone ring until they either answer the call or the call is sent to voicemail.
    5. Repeat steps 2 and 3 above to add more people to the call, if desired.

    Check your voicemail in Microsoft Teams

    Your voicemail is a familiar tool for getting the most out of your calling experience in Teams.

    1. To access your voicemail, go to Calls Calls button > History and then select Voicemail.
    2. Call someone back by hovering over a voicemail and selecting Call Calls button or by selecting More actions Select to see more options and choosing Call back Calls button.
    3. When you select a voicemail, you can review and access details and other information—all on the right side of Teams.

    From here, you can:

    • Listen to your voicemails by using the playback controls at the bottom.
    • Review your voicemail summaries and transcripts (if available).
    • Call someone back by using the call controls under the contact details at the top.
    • Customize voicemail settings (such as recording a greeting and specifying call answering rules).

    Transferring a call in Teams

    • To start the process of transferring a call, in the menu that appears,Click> Transfer.
    • To continue the process of transferring a call,Click> Transfer now.
    • The call will be placed on hold, and the Transfer screen will display.
    • To indicate who you want to transfer the call to:
      • type the phone number, name, or username of the person you want to transfer the call to.
    • Click> the number/name in the list that appears
    • Microsoft Teams will start transferring the call. Once the call is successfully transferred, the call will end.

     

    During Calls When you’re in a call, you can do the following:

    • Hold the call.
    • Transfer the call to another person.
    • Set up a conference call with the person you’re talking with and another person.
